Cyberdigm Document Centralization Gaining Popularity in the Financial Sector! This Time, Chosen by Shinhan Financial Group.

 

The Shinhan Financial Group document centralization project is a large-scale endeavor involving seven group companies, including Shinhan Bank, Shinhan Asia Trust, Shinhan AITAS, Shinhan Financial Group, Shinhan AI, Shinhan Investment Corp., and Shinhan Card. Once completed, it will serve over 7,000 users, ensuring robust document security for the bank.

Shinhan Financial Group, Destiny ECM Implementation Story

 

1. What prompted you to rebuild with a new document centralization solution instead of the existing product?

 

In 2012, we implemented an overseas document centralization solution from Company M, using it for about eight years. While it had good compatibility with M's document tools, maintenance was difficult due to the nature of foreign solutions, leading to management challenges. Issues were hard to resolve quickly, and speed was a significant problem. Compared to local systems, opening documents or folders was slow, causing user dissatisfaction. We sought a new solution to address these and other usability issues, such as detailed access permissions for documents.

 

2. Given the importance of security in banking, why did you choose Cyberdigm Destiny ECM?

 

We compared document centralization solutions from three companies, including Cyberdigm. Cyberdigm's solution stood out for its excellent access permission settings. Additionally, it had numerous references in the financial sector, like KB and NH. However, the decisive factor was Cyberdigm's impressive professionalism. Their quick response during the POC (Proof Of Concept) and performance tests was remarkable. The expertise of Cyberdigm's POC support team and the solution's speed and performance led us to choose Destiny ECM.

 

3. Were there any challenges during the system replacement with Cyberdigm's document centralization?

 

Integrating the new solution with existing systems linked to the old solution was challenging. There were unforeseen systems beyond those initially planned, prolonging the implementation. The Cyberdigm project team and the bank's integration team worked hard, facing difficulties due to various security solutions used in the banking sector. However, through active collaboration between the project team, the bank's integration team, and security solution providers, we successfully completed the project without major issues.

Shinhan Financial Group, Expected Benefits of New S-Drive

 

1. What impact do you expect New S-Drive to have on your work?

 

We anticipate enhanced collaboration. Previously, we shared folders via the internal groupware, but it lacked file-specific permissions, necessitating complicated processes like creating separate TFT folders or sending files as attachments. In contrast, Cyberdigm's document centralization offers document URL sharing, folder and document permissions, and folder favorites, improving groupware shortcomings and boosting collaboration within Shinhan Financial Group.

 

2. Which New S-Drive feature are you most excited about?

 

We look forward to various features, including URL document sharing, folder shortcuts, internal messaging, and detailed document attribute management. These features maintain security while enhancing user convenience, aiding collaboration. Additionally, we focused on the mobile app environment during the New S-Drive upgrade, incorporating ECM functions into the existing Shinhan Bank work app to enhance document security and user convenience. The faster opening speeds of documents and folders compared to the previous foreign solution will also greatly satisfy users.

 

3. What positive impressions did you have of Cyberdigm during the project?

 

The professionalism of the project team was impressive. Their quick response and excellent communication with our ICT team stood out. They minimized user inconvenience by customizing the solution, demonstrating a customer-centric approach. I would rate them 5 out of 5.

1. What is unique about the Shinhan Financial Group project?

 

Most of the project involved upgrading from an existing solution rather than a new build. Replacing existing solutions involves complex system integration, considering system compatibility and ensuring it operates like the previous system, making it more challenging.

 

2. What aspects are you particularly focused on during this project?

 

Data migration. The previous foreign solution had accumulated vast amounts of data over eight years. Ensuring all data is transferred accurately and according to permissions is crucial. We conducted data migration after work hours or on weekends to avoid disrupting employees. Though it extended the migration period, we safely transferred the data without loss or errors, ensuring the bank's document security.

 

3. What is the atmosphere like within the Shinhan Financial Group project?

 

Despite the challenges of simultaneously implementing across seven group companies and the limitations imposed by COVID-19, the Shinhan Bank department facilitated quick schedule adjustments and cooperation. Their understanding and consideration for delays due to external factors made the work enjoyable for the team.

  

4. Any memorable episodes during the project?

 

We faced difficulties with a VDI conflict during the project. Identifying the source of the issue took considerable time, but we discovered it was not a conflict with the document centralization but with a module used across all branches. Once identified, the solution was quickly implemented. This challenging problem-solving effort remains memorable.

 

5. Any final thoughts?

 

 I hope Shinhan Bank continues using our product for over ten years. With ongoing advancements in Cyberdigm's document centralization, I look forward to them choosing our product again in the future!
